How to Actually Evaluate a B2B Database Provider

Most database evaluations end the same way. The team narrows the shortlist, watches three demos, picks the one with the best presentation, and discovers six weeks into implementation that the data quality doesn't match the pitch. By then, the contract is signed and switching feels harder than living with what you bought.

The pattern repeats because evaluation phases reward style over substance. Demos show curated data on cherry-picked accounts. Sample exports look pristine because the sales engineer pulled them from the cleanest segment. The questions that would actually predict performance in your environment never get asked.

A good evaluation doesn't take longer than a bad one. It just asks different questions.

Coverage in your specific market beats total contact count

The first slide in every database vendor's deck quotes a total record count. 100 million contacts, 50 million companies, billions of data points. These numbers are nearly meaningless because they tell you nothing about whether the database covers the segments you actually sell into.

The right question is more specific. Pull the criteria for your top three target segments. Industry, geography, company size, role. Ask each vendor for a count of records matching those exact criteria. The answers diverge fast. A provider with 100 million total records and weak coverage in your specific verticals is worse for you than one with 30 million records and deep coverage where you sell.

Vendors who can't answer the specific count question, or who answer it slowly, are signalling something about their data infrastructure. The good ones run that query in minutes.

Accuracy needs proof, not promises

Every vendor claims high accuracy. Most quote a number around 95 percent. The number is meaningless without methodology. What does accuracy mean in their definition? How do they measure it? When was the last accuracy audit, and was it done by a third party or self-reported?

A useful test: ask for sample data on records you can verify independently. Pull a sample of contacts you already know about (current customers, past prospects, public figures in your industry) and check the records the vendor provides against your knowledge. The accuracy you measure on that sample is closer to what you'll experience in production than whatever the vendor's marketing claims.

Update frequency matters as much as point-in-time accuracy. A 95 percent accurate database that updates quarterly is less useful than a 90 percent accurate one that updates continuously, because the first one degrades fast between refreshes.

A go to market strategy built on data you can't trust is fragile in ways that don't show up until you're already committed. Doing the verification work during evaluation is much cheaper than discovering accuracy problems six months in.

Integration depth, not just integration availability

Most vendors list a long catalogue of CRM and sales engagement integrations. The catalogue tells you a connector exists. It doesn't tell you whether the connector actually works the way you need.

Ask specifically:

  • Is the integration bidirectional? Does data flow back from the CRM into the database, or only one way?

  • What fields sync? Do custom fields work, or only standard ones?

  • How does deduplication work across systems? Does the integration prevent duplicates or create them?

  • What happens when the database updates a record that's already in the CRM? Does the CRM record get updated, or does a new record get created?

The integration layer is where most platforms fail in practice. The data is fine. The connector exists. But the way information flows between systems creates duplicates, overwrites custom fields, or leaves the CRM out of sync. Talking to existing customers about their integration experience surfaces issues that the vendor's own materials won't.

Filtering and search capability shapes daily workflow

The user experience question gets ignored too often. Reps will spend hours every week inside the search interface. If the filtering is weak, the search slow, or the UI clunky, adoption suffers and the data investment underperforms regardless of how good the underlying data is.

Test the search yourself before signing. Build a few realistic queries. Filter by industry, sub-industry, technographic, headcount range, geography, recent funding, role. Time how long it takes to get the results. Look at how easy it is to save and reuse those queries. Try building the same searches in two or three vendors and compare.

A marketing intelligence tool with great data and bad search ends up underused. Reps default to whatever's easiest, which usually means rebuilding lists from scratch in their preferred tool. Search ergonomics is part of the product, not a separate concern.

Pricing fit matters more than absolute price

The cheapest option is rarely the best fit. The most expensive often isn't either. The right question is whether the pricing model matches your usage pattern.

A few things to think about:

  • Credit-based pricing punishes high-volume teams who hit their cap mid-quarter

  • Seat-based pricing punishes lower-volume teams who pay for capacity they don't use

  • Subscription models work when usage is consistent and high

  • Hybrid models work when you can negotiate the right balance for your specific patterns

Project realistic usage based on how your team actually prospects. Then evaluate total cost under each pricing model rather than the headline rate. The vendor with the lowest credit price might cost the most in total once your team hits the volume they actually need to operate at.

What to do with references

Every vendor provides references. They're pre-screened and ready to say nice things. Useful information still comes through if you ask the right questions.

Skip the generic ones. Ask instead: what would you change about your contract if you could renegotiate? What integrations have given you trouble? How does the data quality vary across segments you didn't initially evaluate?

The honest answers reveal more than the marketing materials. References that decline to answer, or push back on them, tell you something too.
